Privacy Policy
1. Controller
MW Cloud Solutions LLC, 1209 Mountain Road PL NE, STE R, Albuquerque, NM 87110, USA, represented by Michael Wiens (Managing Member). Email: m.wiens@mwcs.io. No data protection officer is appointed, as none is legally required for a single-member company without large-scale processing.
2. Principles & legal bases
We process personal data only to operate this website and respond to your enquiries. Legal bases are Art. 6(1)(b) GDPR (steps prior to entering a contract, e.g. package requests), Art. 6(1)(a) (consent you give via form checkboxes, withdrawable at any time with future effect), and Art. 6(1)(f) (legitimate interest in a secure, functional website). Data minimisation is a design principle of this site: our interactive tools deliberately run in your browser so that your inputs never reach our server unless you explicitly submit a form.
3. Hosting & server logs
The site is hosted on the EasyWP managed WordPress platform operated by Namecheap, Inc. (USA), contracted via the Spaceship brand. The host automatically records server logs on page access: IP address, date and time, requested URL, browser and operating system, referrer. These logs serve security, stability and abuse prevention (Art. 6(1)(f) GDPR) and are deleted according to the host's retention schedule. All traffic is TLS-encrypted (HTTPS).
4. Contact form & email
If you contact us via the contact form or email, we process the data you provide (name, work email, company if given, your message) solely to handle the enquiry. The form requires your consent via checkbox. Legal basis: Art. 6(1)(b) or (a) GDPR. Form entries are checked automatically for spam using time-based and filtering methods — no third-party spam service receives your data. Data is deleted when no longer required for the correspondence, unless statutory retention duties apply.
5. Package requests & tool reports
When you request a service package (booking dialog on the services page) or a written report from one of our free tools, we store the submitted data — name, email, company if given, your message, the package concerned, and, where applicable, a summary of the inputs you entered into the tool — in the website's protected administration area, accessible only to the controller. Purpose: preparing the requested response or report and any subsequent contract (Art. 6(1)(b) GDPR), based on the consent you give in the form (Art. 6(1)(a)). An email notification with the same content is sent to the controller. Requests are deleted once the exchange is concluded and no business relationship follows, unless retention duties apply.
6. Newsletter (“Salesforce Marketing Notes”)
If you subscribe to the newsletter we process the first name and email address you enter, together with the time of your request and the page you subscribed from. Purpose: sending occasional editorial emails about Salesforce Marketing Cloud Next, Account Engagement (Pardot) and Agentforce Marketing. Legal basis: your consent (Art. 6(1)(a) GDPR), given via the checkbox on the signup form.
Confirmed opt-in. Your address is stored as unconfirmed until you confirm it, and we do not send editorial emails to unconfirmed addresses. Subscriptions are held in the website's protected administration area, accessible only to the controller; no third-party newsletter provider currently receives your data.
You may withdraw consent at any time with effect for the future — via the unsubscribe link in any email we send, or by emailing m.wiens@mwcs.io. On withdrawal your address is deleted, unless statutory retention duties apply to prior correspondence.
7. Free tools (in-browser processing)
The interactive tools on this site (converters, checkers, calculators, simulators) run entirely in your browser. Content you paste — emails, CSV files, scripts, configuration values — is processed locally on your device and is not transmitted to or stored on our server.
Exception — Deliverability DNS Check: when you run this tool, your browser sends DNS queries for the domain you enter directly to Cloudflare's public DNS-over-HTTPS resolver (Cloudflare, Inc., USA; privacy policy). Cloudflare thereby receives your IP address and the queried domain names. This happens only when you actively run the check. We receive nothing.
8. Scheduling (Calendly)
Booking links point to Calendly (Calendly LLC, USA). Calendly is not embedded in this website — no data flows until you click the link and leave our site, at which point Calendly's privacy policy applies. We receive the details you enter there (name, email, chosen slot) to hold the meeting (Art. 6(1)(b) GDPR).
9. Analytics (Statify & Google Analytics 4)
We use the WordPress plugin Statify for anonymous reach measurement. Statify sets no cookies, stores no IP addresses, and creates no user profiles; it counts page views without any personal reference (Art. 6(1)(f) GDPR). No consent is required for this.
In addition, we use Google Analytics 4 (Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland; data may also be processed by Google LLC, USA). Google Analytics uses cookies and similar technologies (including the cookies _ga and _ga_*) to measure how visitors use this site: pages viewed, approximate location derived from a truncated IP address (Google Analytics 4 does not store IP addresses), device and browser type, referrer, and interactions such as clicks. The tag is integrated via the Site Kit plugin. We use this data solely to understand which content is useful — no advertising features, no cross-site user IDs. Legal basis: your consent (Art. 6(1)(a) GDPR, § 25(1) TTDSG), given via the cookie banner and withdrawable at any time with future effect via the cookie settings link in the footer. Without consent, Google Analytics is not loaded. Data retention in Google Analytics is set to 14 months. Transfer to the USA: Google LLC is certified under the EU-US Data Privacy Framework; standard contractual clauses apply in addition. Details: policies.google.com/privacy · browser opt-out add-on: tools.google.com/dlpage/gaoptout.
10. Fonts (self-hosted)
Web fonts (Inter and Space Grotesk) are hosted on our own server and delivered from this domain. Your browser makes no connection to Google Fonts or any other external font service when loading this site, and no IP address is transmitted to a third party for font delivery. This was migrated from Google Fonts on 9 September 2026.
11. Cookies
This website uses two kinds of cookies. Technically necessary cookies may be set by WordPress core functions (e.g. when the operator logs in) and by the cookie banner itself to remember your choice; these require no consent (§ 25(2) TTDSG). Analytics cookies from Google Analytics 4 (_ga, lifetime 2 years; _ga_*, 2 years) are set only after you consent via the cookie banner. You can withdraw or change your choice at any time via the cookie settings link in the footer, or by deleting cookies in your browser. No marketing or advertising cookies are used.
12. Recipients & third-country transfers
Recipients of personal data are limited to: our hosting provider (order processing), Cloudflare (only for the DNS tool, only when you run it), Calendly (only when you book), and Google (analytics only with your consent, see section 9 — fonts are self-hosted and involve no third party). As the controller is US-based, data you submit is processed in the USA. Where EU-based service relationships exist, transfers rely on the providers' published safeguards (EU-US Data Privacy Framework participation or standard contractual clauses, as applicable per provider). We do not sell personal data and do not share it for third-party advertising.
13. Retention
Enquiry and request data: for the duration of the exchange, then deleted unless a business relationship follows or statutory retention applies. Server logs: per the host's schedule. Booking data at Calendly: per Calendly's terms and your account there. We review stored requests periodically and delete concluded ones.
14. Your rights
- Access (Art. 15 GDPR) — what data we hold about you;
- Rectification (Art. 16) and erasure (Art. 17);
- Restriction of processing (Art. 18) and data portability (Art. 20);
- Objection (Art. 21) — where processing rests on Art. 6(1)(f), you may object at any time with effect for the future;
- Withdrawal of consent (Art. 7(3)) — at any time, without affecting prior processing.
Exercise any right by email to m.wiens@mwcs.io. You also have the right to lodge a complaint with a data protection supervisory authority (Art. 77 GDPR) — for example the authority of your German federal state, or any EU supervisory authority; an overview is provided by the BfDI.
15. No automated decision-making
No automated decision-making or profiling within the meaning of Art. 22 GDPR takes place on this website.
16. Changes to this policy
We update this policy whenever processing on this site changes — for example when fonts move to local hosting, or if embedded services are introduced. The date at the top reflects the current version.
